The problem

The camps doing the best work create the most paperwork.

Ropes courses, waterfront sessions, overnight hikes — the activities that build great campers also generate incident reports. Most camps are still tracking them on paper forms that get lost, smudged, or stuffed in a binder no one opens until something goes wrong. By then, it's too late.

01 / THE LOST REPORT
📋

Paper forms disappear when you need them most

When an insurance adjuster calls eight months after a sprained ankle, you're rummaging through cardboard boxes in a storage shed. The form you need is the one you can't find.

02 / THE FROZEN COUNSELOR

Logging takes 15 minutes you don't have

A scraped knee shouldn't pull your best counselor away from ten other campers for a quarter hour. But that's how long a thorough paper report takes — assuming they remember every field.

03 / THE LEGAL EXPOSURE

One missing record costs millions

The Steilacoom Camp settlement was $15 million. The deciding factor in cases like these is rarely what happened — it's whether the camp can prove what happened with timestamped, structured documentation.

04 / THE COMPLIANCE GAP
🔗

Enterprise software is built for big chains

Existing tools cost $10,000+ per year and are built around registration, not safety. Small and mid-sized camps are stuck choosing between paper and nothing.

The solution

A digital safety net built for the way camps actually run.

PineReport is a mobile-first incident logging system designed for counselors managing ten things at once. Tap the incident type, snap a photo, capture a witness statement, submit. Two minutes, start to finish. Every report is timestamped, location-tagged, and synced to a secure dashboard your director — and your insurer — can trust.

01

Counselors stay with their campers.

A two-minute log means your staff isn't pulled away from supervision during the exact moments supervision matters most.

02

Directors see everything, in one place.

Every incident across every program area, sortable by type, severity, location, and staff. No more reconciling three different binders at the end of the season.

03

Insurers see records that hold up.

Timestamped, GPS-tagged, photo-attached, and witness-verified. Exactly the structured documentation an adjuster — or an attorney — needs to close a claim quickly in your favor.

How it works

Three steps. Under two minutes.

The form was designed by watching counselors handle real incidents — not in a conference room.

01

Open and tap the incident type

Medical, behavioral, or safety — each has its own form, optimized so counselors only see fields that matter for that situation.

02

Capture photos and witness statements

Attach photos of the injury or scene. Capture witness statements with a single tap — the app records audio and auto-transcribes. GPS and timestamp happen automatically.

03

Hit submit. Your director sees it instantly

The report syncs to your secure dashboard. Director and designated leadership are notified. The record is locked, signed, and ready for any audit, claim, or review months later.

Features

Everything you need.
Nothing your counselors don't.

PineReport is intentionally focused. We didn't bolt safety onto a registration platform — we built a safety tool from the ground up.

Three smart templates

Medical, behavioral, safety — each with the exact fields that matter. No slogging through irrelevant questions when speed matters.

Photo & audio capture

Evidence attached at the source. No "I'll add those later" — which always means "never."

Director dashboard

Every incident across the camp on one screen. Filter by type, location, staff, severity, or date. Spot patterns before they become trends.

Audit-ready exports

Structured PDF or CSV records for any incident, any date range. Hand it to your broker, attorney, or accreditor.

Works offline

Wilderness trips don't break it. Logs save locally and sync automatically when the phone reconnects. No lost reports.

Role-based access

Counselors create. Directors review. Admins audit. HIPAA-conscious handling of medical details.

From the field

From the directors who use it every day.

"

My counselors are 19 and 20. If a tool isn't faster than the alternative, they won't use it. PineReport is the first compliance system I've ever rolled out where staff actually thanked me.

"

The first week, a counselor logged a head bump in under two minutes — photos, witness statement, the works — and was back with her group before I'd even finished reading the alert. That's when I knew it would actually get used. The paper binder never came back out.

FAQ

Questions camp directors ask before they sign up.

Most camps are fully set up in 15 minutes. You import your camper and staff list (CSV or copy-paste), pick which incident templates you want active, and start logging. We've had camps go from sign-up to first logged incident in under 30 minutes.
That was our biggest design constraint. The app has four taps from open to submit, large fat-finger-friendly buttons, and works in bright sunlight. Camps that pilot it typically see 90%+ counselor adoption in the first two weeks — higher than the paper forms they were skipping.
All medical incident data is encrypted at rest and in transit. Access is role-based, so only authorized staff see medical details. We maintain a Business Associate Agreement (BAA) available on request, and a Data Processing Agreement (DPA) for any camp that needs one. Our system was reviewed by camp insurance counsel before launch.
Most camps already have parent consent for medical, photo, and emergency-contact handling in their registration paperwork. Digital incident documentation fits naturally into that framework — it's record-keeping, not data collection from the child. We provide a ready-to-use consent paragraph your camp can add to existing registration forms, in English and French. Your camp stays the data controller; PineReport is the data processor underneath, bound by a DPA.
Canadian camps can request data residency in Canada (Montreal or Calgary regions) at provisioning. We're PIPEDA-compliant, support Alberta and BC PIPA requirements, and offer Law 25-aligned tooling for Quebec camps including French-language consent templates, breach notification within 72 hours, and documented cross-border transfer impact assessments. A French UI is available for counselor- and parent-facing materials.
Yes. Incidents save locally on the device and sync the moment a connection returns. We tested this specifically with wilderness trip leaders before launch.
You can keep them archived as-is — PineReport is a forward-looking system. If you want to digitize back-records, we offer an optional bulk-import service ($199 one-time) where you scan and upload, and our team enters them into your archive.
Insurers generally view thorough, well-organized incident documentation as a positive factor at renewal — it shows risk is being managed and tracked. PineReport generates clean, timestamped incident reports you can share with your broker or carrier at renewal time.
Full refund within 60 days, no questions. Your data is yours — we'll export everything to PDF or CSV before closing your account.
